Information and purposes
We use account details, saved places and reports, selected homes, alert preferences, property enquiries, agency profiles and inventory, reviews and support requests to provide the features you choose. A founder invitation records the recipient email, inviter, expiry and acceptance status. We also process technical information needed to deliver and protect the service.
Searching an address does not automatically save it as your home or subscribe you to reminders. An address or location you search may be sent to the relevant council, public-data or search provider to return the result. Public property and business records also come from the sources identified on the relevant tools.
Our reasons for using data
We use information to provide the service and take steps you request under our agreement with you; for legitimate interests in running, securing and improving the service, preventing abuse and handling reports; to meet legal obligations where applicable; and on the basis of consent where we ask for a specific optional use. You can stop a chosen alert through its management or unsubscribe option.
What is private and what can be public
Saved research, alert settings and private invitation links are account features. Published agency profiles, listings and approved reviews can be public. An enquiry sends the details shown in its form to the relevant recipient. Do not put sensitive or unrelated personal information in public content or coverage requests.
Who receives information
We use hosting, email, security and data-source providers as needed to deliver the service. Participating agencies receive the enquiries addressed to them. A custom agency domain returns you to Place Keys for account sign-in rather than receiving your Place Keys password or login cookie. Other websites linked from Place Keys have their own privacy notices.
Some providers may process information outside the UK. Where required, applicable transfer safeguards must cover that processing. Contact us for information about the providers and safeguards relevant to your request.
Usage information
Place Keys records daily totals for selected page responses and completed actions. These counters contain no visitor ID, postcode, search query, IP address or referrer; they are not a count of unique people. They are retained for up to 90 days and respect recognised Do Not Track and Global Privacy Control signals. These totals help us see which tools are used and where lookups fail. Optional browser analytics, where offered, are separate; see Cookies & privacy choices.
Missing bin dates
A bin coverage request stores the postcode, optional council name and the problem category. It is visible to administrators for coverage investigation, not published. The form does not ask for a name or email, create a reminder or change your saved home. Duplicate requests may be combined. Requests are removed after 180 days; resolved requests are removed after 30 days. A short-lived security identifier helps limit repeated submissions.
Retention and choices
Account and active service records are kept while needed to provide the feature and afterwards only as reasonably needed for deletion processing, security, disputes, backups or legal obligations. Invitation links expire after seven days if unclaimed; an accepted founder membership is permanent. You can cancel unclaimed invitations and manage your saved items and alerts in My Place Keys. Contact us for account access, correction, export or deletion requests.
Your rights and complaints
Depending on the information and basis for processing, you may have rights to access, correct, erase, restrict or port your data, and to object to processing. Where a use depends on consent, you can withdraw it without affecting the lawfulness of earlier use. Contact us with “Data protection request” or “Data protection complaint” in the subject. Describe the issue; do not send identity documents unless we need to request them to verify you.
You can also raise a concern with the Information Commissioner’s Office.
